Challenge

In 2019, a medical organization without any technical staff sought the assistance of Tech Smart Solutions to manage their technology. At that time, they were using a dos-based medical practice application and relied on paper records. This outdated system required extensive scanning, faxing, and physical transfer of paper files, which hindered the organization’s efficiency. When the organization became a client, only a few employees had email accounts, and those who did used personal accounts for business purposes. This created numerous security, efficiency, and compliance challenges for the organization.

Solution Overview

Tech Smart Solutions initially deployed a small business server (SBS) for the client, which involved upgrading their medical practice application to a windows-based platform. The SBS server also provided domain-based email, as well as file storage and sharing capabilities. To ensure a seamless transition, Tech Smart Solutions worked closely with the software provider. Subsequently, Tech Smart Solutions extended their support to the client’s 25 remote offices by deploying computers and infrastructure for email, scan to email functionality, and file sharing with the headquarters. Previously, all information had to be sent via scan to fax or physical carriers to reach the headquarters. In addition, Tech Smart Solutions offered backup and disaster recovery services, as well as monitoring and maintenance for the server, workstations, and overall, IT infrastructure. As the medical practice software evolved and the data storage needs increased, Tech Smart Solutions migrated the client to a virtualized environment and transitioned their email system to Office 365.

Results

Throughout the engagement, Tech Smart Solutions has provided service desk support and assistance to the headquarters and all 25 remote offices as required. When the covid-19 pandemic struck in the spring, Tech Smart Solutions played a crucial role in facilitating the client’s remote work capabilities through migration.
